Job Description:

The Executive Assistant - Senior proactively anticipates needs to support a variety of administrative functions for Leadership Institute and the Mindshare Institute with significant system influence in a time sensitive, accurate, and confidential nature using discretion and diplomacy.

Essential Functions

Primary responsibilities include partnering with leadership on task management and coordinating high-stakes, strategic initiatives, and serving as a liaison with other internal and external stakeholders. Work is broad in scope and may involve internal and external coordination with multiple markets, facilities, sites, service lines/departments, and boards.Caregiver understands the business strategies and works as a competent auxiliary member of the leadership team actively supporting  goals for two departments and priorities and developing procedures and processes to ensure successful execution of team strategy. This caregiver will create and modify documents and presentations, track and influence performance metrics, and serves as a thought partner to leadership.The Executive Assistant - Senior provides advanced meeting, program, and event support including coordination, pre- and post-meeting communications, remote meeting management, facilitation and creation of meeting materials, and management of multimedia needs.Additionally, this caregiver proactively manages multiple leader calendars and department inboxes, correspondence, billing, travel, invoice, and all expense management, client liaison registration, communication, and support, response to inquiries and requests and support of system needs and priorities

Required Qualifications

Demonstrated experience supporting an executive director, multiple managers or functional area in an office setting, or system leaderDemonstrated ability to work efficiently and effectively in an independent mannerDemonstrated ability to exercise sound judgement and professional behavior while acting decisivelyDemonstrated organizational and problem-solving skills with high attention to detailDemonstrated experience managing calendars, correspondence, travel/expenses, remote and in-person meetingsDemonstrated interpersonal skills with internal and external senior-level leadersDemonstrated proficient verbal and written communication skills including discernment, spelling, punctuation, and grammarDemonstrated proficient time management, ability to prioritize and flex work to align with business operational prioritiesDemonstrated ability to manage conflicting priorities without loss of composure

Preferred Qualifications

Bachelor’s degree. Education must be obtained through an accredited institution. Degree will be verified.Experience working in a matrixed healthcare setting and supporting multiple departments and leadersLeadership experience (e.g., providing training to others on their job duties, coordinating the work of others, coordinating projects, acting as a team lead, and directly supervising others)

•  Verbal Communication and Hearing: Frequent interactions with providers, colleagues, customers, and visitors, requiring clear verbal communication and the ability to hear and understand spoken information promptly and accurately.

• Manual Dexterity: Frequent use of hands and fingers for precise manipulation of supplies, equipment, and computer tasks, including typing and accessing information.

•  Mobility and Endurance: Ability to sit, stand, and move between workspaces for extended periods during meetings, events, or while managing program logistics.

•  Driving: For roles requiring driving, the ability to operate a vehicle safely, including reading signs, signals, and navigating traffic conditions.

The hourly range for this position is listed below. Actual hourly rate dependent upon experience. 

$25.64 - $39.05
