Senior Receptionist and Switchboard
POSITION PROFILE

Provides exceptional service to the business by greeting/assisting all visitors and answering and transferring incoming calls from all over the United States.

This receptionist role is a multifunction role for a high-profile national customer, Willis Towers Watson.

We're looking for someone who is CUSTOMER SERVICE all the way. Great personality with a can-do attitude. Reliable, very friendly and courteous, fast learner who can seamlessly work through Office 365 and various other applications. Has great communication skills (both written and oral).

Front of House (FOH) Services

Include (but not limited to):

A. Reception Services Answer calls within three rings and deal with these queries efficiently. Phone script for answering phones. Encourage the contagious habit of smiling. Ensure all visitors and colleagues are greeted when entering the reception area. Ensure emails are dealt with efficiently, and any extra administrative support is provided. Maintain a high degree of confidentiality and integrity. B. Visitor Processing Register all visitors with the building security portal. Visitor names are provided by colleagues or meeting organizers via email. Ensure visitors sign in the Visitor’s Log. Contact colleagues or meeting organizers to inform them that their visitor(s) are in the reception area. For internal meetings, direct visitors to the scheduled conference rooms. Assign visitor/guest security cards by the site procedures. Maintain inventory of security cards and report missing cards promptly to Facilities Services. C. Conference / Meeting Support Meetings can range from 4 to 50 attendees, and occasionally, meetings may have attendees from 50 to 100 or more. Supporting Conference Rooms and Team Rooms. D. Catering Support Services Meeting hosts and Administrative Assistants will provide all catering requests to the Front of House team, and it is the responsibility of the Front of House team to place the orders. Processing and coding of Catering invoices. JOB DUTIES AND RESPONSIBILITIES Greets the public. Distributes name badges to visitors, temporary employees, etc. Issues facility access cards to employees. Schedules meeting rooms for all. Answers and transfers calls from all over the United States. Participates enthusiastically in company and community service events. Performs light Administrative duties. Performs PC Support and Administrative duties as needed. Acts as a model for Vision, Values, and Mission. Builds professional relationships with customers and other teams. Responsible for the timely updates of company phone and speed dial lists. Responsible for issuing of the Company Loaner Cell Phones. Assists Administration or any other team when needed for various tasks (envelope labels, compiling manuals, etc.). Understands other work areas. Performs other duties as assigned. QUALIFICATIONS (Education, Experience and Certifications)

Typically Required:

Requires high school diploma or equivalent and 2+ years of prior switchboard experience. KNOWLEDGE, SKILLS AND ABILITIES MS Office Suite experience, specifically Word and Excel. Excellent customer service skills and detail oriented. Ability to handle multiple tasks simultaneously. Demonstrated organizational and communications skills. WORKING CONDITIONS, MENTAL AND PHYSICAL DEMANDS Typically, an office environment with adequate lighting and ventilation, and a normal range of temperature and noise level. Work assignments are diversified. Interpret, comprehend and apply complex material, data and instruction – prepare, provide and convey diversified information. Some physical effort required. Work is mostly sedentary but does require walking, standing, bending, reaching, lifting or carrying objects that weigh up to 50 lbs. (e.g., papers, books, files and small parts, etc.). Moderate dexterity – regular application of basic skills (calculator, keyboard, hand tools, eye/hand coordination).
